The challenge: multiple file formats in regulated quality management

In regulated industries, quality documentation rarely lives in a single file format. Procedures are often written in Word, records maintained in Excel, training materials created in PowerPoint, and supporting evidence stored as PDFs, images, or scanned files.

This diversity reflects how different teams work – but it also creates challenges. When documents are managed across disconnected tools or file storage systems, maintaining version control, traceability, and audit readiness becomes increasingly difficult.

Using editable formats allows teams to collaborate, review, and approve documents directly within the eQMS, reducing version conflicts and manual handling.

Viewing additional file formats in MedQdoc

In addition to editable formats, MedQdoc supports a wide range of file formats for viewing. This is especially useful for reference material, evidence, training content, and supporting documentation, such as images, audio, and video files.

These formats can be previewed directly in the browser. Preview availability may vary depending on the browser type and version used.

The most commonly used view-only formats include standard image files such as .jpg, .jpeg, .png, and .gif. However, technical documentation often relies on additional formats. MedQdoc therefore supports several other file types as well.

  • Image formats: .tiff, .svg, .webp, .bmp, .heic
  • Audio formats: .mp3, .mpga, .wav, .aac
  • Video formats: .mp4, .avi, .mov, .wmv

Upload-only formats for storage and traceability

Some file formats are primarily used for storage, transfer, or external processing. While these formats are not supported for preview, they can still be uploaded and managed in MedQdoc.

Common upload-only formats include compressed archives such as .zip and .rar, as well as structured data files like .json.

Even upload-only files follow the same document lifecycle in MedQdoc, ensuring controlled handling, traceability, and audit readiness.
