How to enable automatic document revision reminders #
This article explains how administrators can enable automatic document revision reminders in MedQdoc. Revision reminders are configured at folder level and ensure that responsible users are notified when documents are due for review.
Before you start #
- You must have Administrator privileges.
- Revision reminders are configured on folder level.
- Only documents stored in folders with revision reminders enabled will be included.
How to enable automatic revision reminders #
- Go to Documents and navigate to the folder where you want to enable revision reminders.
- Open the folder settings.
- Scroll to the section Revise document.
- Click the edit (pencil) icon.
- Select the responsible user group that should receive revision reminders.
- Save or update the folder settings.
How revision reminders work #
Once revision reminders are enabled, MedQdoc automatically tracks when documents are due for revision.
- Reminders are sent two weeks before the revision due date
- Reminders continue weekly until the document is revised and republished
- Reminders stop automatically once the document has been republished
Who receives the reminders? #
Revision reminders are sent to the user group selected in the folder settings. Only users who belong to that group will receive notifications.
If you are unsure which group should be selected, review your company’s permission groups before enabling reminders.
What users should do when they receive a reminder #
- Open the document mentioned in the reminder
- Select Revise document
- Review and update the content if needed
- Send the document for review and approval (if applicable)
- Republish the document to complete the revision
Troubleshooting #
Users do not receive revision reminders #
- Verify that revision reminders are enabled for the folder
- Confirm that the correct user group is selected
- Check that users are active members of the selected group
Reminders continue even after review #
Reminders will continue until the document has been revised and republished. If no changes are required, the document must still be revised and republished to confirm the review.
