Reading Receipt and Concerned By in MedQdoc #
Reading receipt in MedQdoc is a functionality used to ensure that users acknowledge and confirm that they have read a document. It is closely connected to the Concerned by permission and is commonly used to support training management and change communication.
What Is a Reading Receipt? #
A reading receipt is a confirmation that a user has read a specific document. When reading receipt is enabled, assigned users must actively acknowledge the document, and the system records this confirmation for traceability and compliance.
- Can be used as a complement to formal training
- Can be used as a standalone training method when reading is considered sufficient
- Helps ensure awareness of changes to SOPs, Work Instructions, or Policies
How Reading Receipt Works with Concerned By #
The Concerned by permission defines which users or groups are affected by a document. Users or groups marked as Concerned by are required to acknowledge the document when reading receipt is enabled.
When a document with reading receipt is approved, all users belonging to groups assigned as Concerned by for the specific folder will receive an email notification informing them that a reading receipt is required.
The document appears as a task for the user in the menu My Tasks and Reading receipt.
Concerned by defines who must acknowledge the document. Reading receipt ensures that the acknowledgement is tracked.
Where Users Find Their Reading Receipts #
Users can access their assigned reading receipts from the menu:
- My Tasks
- Reading receipt
From this view, users can see which documents require acknowledgment and complete their reading receipts directly.
Viewing Reading Receipt Status per Document #
Users can view the overall reading receipt status per document. This view provides an overview of how many users have been assigned a reading receipt and how many have completed it.
In the document-based reading receipt view, you can see:
- Total number of assigned users
- How many have completed the reading receipt
- How many are still pending
- Completion percentage per document
This view helps administrators track compliance and follow up where acknowledgments are missing.
Viewing Reading Receipt Status per User #
Reading receipts can also be viewed per user. This view provides insight into each user’s compliance status.
- See which documents a user has been assigned
- Identify completed and pending reading receipts
- Review acknowledgement dates for each document
Sorting and Filtering Reading Receipts #
Reading receipt views can be sorted and filtered to support different follow-up needs:
- Sort by document to see overall completion status
- Sort by user to review individual compliance
Reading Receipt Results in Document Metadata #
The result of reading receipt is also available on each document’s metadata. This makes it easy to confirm whether acknowledgements have been completed directly from the document view.
Best Practices #
- Use reading receipts for SOPs, Work Instructions, and Policies
- Assign Concerned by carefully to avoid unnecessary notifications
- Combine reading receipts with formal training when required
- Regularly review pending acknowledgments
Note: An inactive user still remains part of the reading receipt requirements. In the reading receipt view, the user is displayed with a strikethrough. A user must be fully removed from the site for the reading receipt requirement to be completely removed.
